Default Topic 14: Number Ranges

Today we will learn how to config number ranges for Employee Identification Numbers.

Every company have one series, it may based on Branch, Department wise or employee group wise.

SAP will provide number ranges which defaults when hiring action happen.

Example

NUMBER RANGE WILL BE DEFINED FOR PERSONNEL NUMBERS

No. ranges
Details of No. ranges
From
To
Internal/ External
1
Full Time employees
000010000
000049999
Internal
2
Contractors / Consultants
000050000
000099999
Internal
3
Others Staff
000100000
000200000
Internal

You have two options:

Internal number assignment which the SAP System assigns the personnel numbers.

External number assignment which the user assigns the personnel numbers.

To set the Personnel Numbers range :-

IMG - Personnel Management -> Personnel Administration -> Basic Settings

-> PA04 - Maintain number range intervals for personnel numbers
-> PE03 - Determine defaults for number ranges

For e.g.

01 - External
02 - Internal

You will find total 3 options.

1. Display Intervals: Used to see the intervals (After you create)

2. Change Status: Used to modify intervals (Once you use after some time if you wanted to modify you can use this option)

3. Change Intervals: Here you create number ranges (Intervals)

Look at the Number range of our company is 6000 - 69999

Which is mentioned at C1 (C1 need to assign to our company)

If your client wants one range for one branch and one range for other branch so you need to maintain two different rages like

C1 : 06000 - 69999
C2 : 70000 - 99999

And Assign C1 to your one branch (Personnel Area) and C2 to other personnel area.

You can also to your employee Groups/Sub-groups or Company code...according to your BP.

And look at the Current Number is 0

And also look at the BOX saying EXTERNAL NUMBER RANGE, if you want user give manually number range TICK THIS OPTION if you don't want user to give let SAP give automatically so don't Tick.

Here the assignment will takes place.

Called FEATURE (T-CODE PE03 - NUMKR)

Features are objects those that default values by quering different enterprise, personnel or data structure fields. The transaction code for features are pe03.

Feature NUMKR is used to define whether the employee numbering created for such personnel area would be created internal (proposed by the system) or external assignment (User Define).

Select the decision option.

Like if you cleint wanted only one number range to all the employees so assign to your company code.

If you want according to personnel area so PRESS create option and choose personnel area code WERKS.

System will ask next level decision option.

Use Fild for decision Operation to select Employee Groups, Sub-Groups...

If you wanted to assign so use RETURN VALUE

Default NUMKR Tree

Hi,

I went ahead and created the range intervals C1 and C2 as per the screenshots but when I come to the NUMKR transaction screen I only get one branch NUMKR-->01. Is there something that I am missing as I do not see any countries listed as per your screenshots on my IDES.

Thx.

Hi

You can create and assign like C1 to one personnel area and C2 for other Personnel Area.

Return value u just need to enter, it will not come default or drop down list.

Let us know if you still facing.

Thanks

Hi,

When I come to the NUMKR screen it is blank, it does not have the MOLGA country code where you select the US and then get to the WERKS area. The whole screen is blank with one node NUMKR-->01; so how do i get to the country assignment and then on to WERKS; there is no country listed on my decision tree...

Thx.

Ok I was finally able to create everything including MOLGA and WERKS, now my final question was that when I was trying to save the Decision Tree the "Otherwise" did not have any dependent nodes and was preventing the "SAVE" from happening. I deleted the "OTHERWISE" nodes and then did a Decision Tree "CHECK" and found it to be error free; this allowed me to now "SAVE" the decision tree and Activate it. My question is did I do everything right here.

Following are all the steps that I followed; I got confused with a few steps here as there was no MOLGA on my screen; so if there are other people in the same boat as me...following is what I did....question to the "TRAINER": are the following steps right...

Go to NUMKR thru PE03 or click on “Determine Defaults for Number Ranges”àClick Create à Click Field for Decision Operation àWrite MOLGA in first small space à Click on MOLGA from the Popup Screen
è Press TRANSFER to continue
MOLGA node appears with “otherwise”; Now we need to create the countries
Click Edit àCreate Nodes from the Menu
On the popup COUNTRY Grouping Screen, choose 10 USA and 40 India ( am using 2 different personnel areas for 2 different countries; so my choice is different here)
Choose Copy, the nodes 10 USA and 40 India would have been added to the tree.
Go back to screenshots and check
Again now to create WERKS
Click Create à Click Field fro Decision Operation àWrite WERKS in the small space à Press Return to continue à Click on WERKS from the Popup Screen à Click on Transfer to Continue
Node WERKS appears under USA à Go back to screenshots
Delete all “OTHERWISE” Nodes ( else SAVE not accepting, need to check)fficeffice" />

Hi

Dont delete otherwise put some thing so that system will reads other countries NUMKR. Take any number range from the table.

So that for your company it reads your number range and other countries it will go for otherwise

Thanks

Sir / Madam,

When I was trying to create COMPANY and CO CODE, at the end it was throwing an error saying the number ranges 5,6,7 are assoicated with..... I override by clicking OK...and completed.

My Question creating Number ranges are at this time or initially before creating PA,CO,CCODE.... ?

Please take into consideration of NEW Implementation and tell us exactly how start configuring.like first CO and CCODE has to configured then....????
So that we will have the order of creating (a flow chart)

Thanks

You have two options:

Internal number assignment which the SAP System assigns the personnel numbers.

External number assignment which the user assigns the personnel numbers.

To set the Personnel Numbers range :-

IMG - Personnel Management -> Personnel Administration -> Basic Settings

-> PA04 - Maintain number range intervals for personnel numbers

-> PE03 - Determine defaults for number ranges

For e.g.

01 - External
02 - Internal

Can we have alpha numeric number ranges?
