Thumbs up UK Payroll: Statutory & Occupational Absences

Statutory Absences (SSP/SMP/SAP/SPP)

Purpose

Employee sickness, maternity, adoption and paternity absences are evaluated by the Payroll component for Statutory Sick Pay (SSP), Statutory Maternity Pay (SMP), Statutory Adoption Pay (SAP) and Statutory Paternity Pay (SPP) purposes. These four absences are collectively termed SxP.

To process these SxP absences, the Payroll component uses employees' absence data recorded in infotype Absences (2001). It then evaluates the absences in conjunction with the SxP data on each employee and produces the relevant SxP figures for payroll.

Integration

The employee data required by the Payroll component is stored in the following infotypes:

·Absences (infotype 2001)
·SSP1(L) Form Data Record (infotype 0085)
·SSP/SMP/SAP/SPP Exclusions (infotype 0086)
·SMP/SAP/SPP GB (infotype 0088)

Features

Statutory Absence functionality delivered with GBSxP Phase II ensures your absence processing and payroll outcomes are more transparent, easier to administer and simpler to report on.

GBSxP Phase II statutory absence functionality is delivered as the default setting in Releases ERP 2004 (5.00), ERP 2005 (6.00) and above.

The main features of the Phase II GBSxP functionality are:
  • SxP absences are processed by the payroll function GBSXP
  • A Qualifying Day Pattern (QDP) solution using feature GBQDP, new QDP tables and a new QDP migration check report
The QDP solution delivered with GBSxP Phase II replaces infotype SSP Control (0084).
  • Extensive Payroll Log for payroll function GBSXP
  • Data-Take-On (DTO) solution for SxP absences
  • New changes across a tax year solution based on MSA
  • Enhanced features for infotype Absences (2001)
  • A wide range of SxP and OxP (Occupational Absences) reports you can use on a day-to-day basis
  • Additional reporting tools to assist you with issues such as absence data conversion and QDP customising checks

Statutory Sick Pay: an overview

Statutory Sick Pay (SSP) is paid to employees who are unable to work because of illness. SSP is paid at the same time and in the same way as you would pay wages for the same period.

As an employer you're responsible for paying SSP to employees who meet certain qualifying conditions. You also need to record any SSP you pay on the employee's form P11 Deductions Working Sheet - or equivalent payroll record.

If you have a high proportion of your workforce off sick at the same time you may be able to recover some or all of the SSP you pay from HM Revenue & Customs (HMRC).

This guide gives an overview of the SSP scheme. It explains when you need to pay SSP and when you don't, and tells you how to deal with long and frequent absences. It also links to information about calculating and recovering SSP.

SSP - employer obligations

As an employer you're responsible for operating the SSP scheme. You'll need to:
  • work out whether an employee meets the qualifying conditions (more below)
  • calculate how much SSP they're due
  • pay the SSP to them
  • keep a record of the SSP you pay
If you keep paying your employees their normal wage when they're sick - and you pay them at least as much as the SSP they'd get - you don't have to operate the SSP scheme.

You must put your sickness policy in a written statement of employment particulars and give a copy to all employees who have worked for you for at least a month.
